Maintain an Exclusive Guest List

The more the merrier isn’t the philosophy to use when sending meeting invites. Before making a move, carefully review the list of people you plan to invite to make sure everyone truly needs to be there. Extra people in the room will only make the meeting last longer, without adding any additional value. This is a waste of everyone’s time, so make your list and check it twice.

Create an Agenda

Meetings frequently go off-topic, but when you have an agenda, it’s much easier to shift the conversation back to the matter at hand. Not only that, creating an agenda and sharing it with attendees prior to the meeting allows everyone to know what to expect, so they can come prepared. Think of it this way, if you don’t know what to put on the agenda, you probably don’t need to have a meeting.

Don’t Wait for Latecomers

Waiting for stragglers to show up to a meeting wastes everyone’s time. Make your meeting more productive by always starting punctually. Latecomers can catch up on what they missed after the meeting, when everyone who arrived on time is out the door.

Remove All Chairs

If you only have a few brief issues to cover, make it a standing meeting. This will help facilitate an on-topic discussion, because people won’t want to stand around for longer than necessary. Don’t take this approach if your meeting needs to last longer than 15 minutes, because people will get cranky — and rightfully so — but it’s a fantastic idea for short discussions.
